Part-Time Office Manager (Bilingual)

Position Overview:

 

The Montreal Community Cares Foundation (MCCF) is seeking a proactive, detail-oriented Part-Time Office Manager to oversee administrative tasks, event coordination, and data management that ensure the smooth functioning of the organization. This role involves 20-25 hours per week at a competitive rate of $22-$27 per hour and is perfect for someone passionate about making a meaningful difference in the community.

As Office Manager, you will provide essential support to the CEO, team members, and stakeholders while managing office operations, client relationships, and event logistics. This is a dynamic role for someone eager to roll up their sleeves and contribute to a vibrant, mission-driven organization.

Minimum Qualifications:

Bilingual: Fluency in English and French (spoken and written).
Organizational Skills: Exceptional multitasking, attention to detail, and ability to manage priorities independently.
Technological Proficiency:
o Proficient in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint) and project management tool.
o Experience with CRM systems and data entry is an asset.
Professional Communication: Strong verbal and written communication skills.
Team-Oriented: Ability to collaborate effectively while also working autonomously.
Financial Management: Experience in basic bookkeeping and financial tracking is a plus.
Education: Minimum CGEP

Summary of Responsibilities:

Administrative Support:

Assist the CEO and team members with Client Relationship Management (CRM) tracking and updates.
Schedule and manage all office meetings.
Open and distribute email daily, scanning and filing necessary documents into the system.
Coordinate and order office supplies.
Prepare and send emails.
Generate reports and manage data entry to ensure data integrity.
Download, organize, and file documents.

Accounts Payables and Financial Tracking:

Manage accounts payable processes and ensure timely payments.
Track and reconcile financial documents, ensuring accuracy and organization.

Presentation Coordination:

Update and finalize  presentations for discussions.

Event Support:

Create and manage email/mailing lists for events.
Provide on-site support at events, including guest check-ins, logistical coordination, and administrative assistance.
Post-event support: Track RSVPs, manage unsubscribes, and update event databases.
