Administrative and Communications Assistant
Position Summary
Gay and Grey Montréal is seeking a detail-oriented and organized Administrative and Communications Assistant to support the day-to-day operations of our growing organization. Reporting to the Executive Director, the successful candidate will provide administrative support, assist with member communications, maintain organizational records, and help coordinate events and special projects that benefit English-speaking 2SLGBTQI+ older adults across Montréal.
Key Responsibilities
Administrative Support
- Provide general administrative support to the Executive Director, Board members and staff.
- Prepare correspondence, reports, meeting agendas, minutes, and other organizational documents.
- Maintain electronic filing systems and ensure records are accurate and up to date.
- Assist with scheduling meetings, preparing meeting materials, and coordinating logistics.
- Support membership administration, including maintaining member records and responding to inquiries.
- Assist with data entry, document management, and maintaining organizational databases.
Communications
- Prepare newsletters, member notices, event invitations, and other organizational communications.
- Update website content, event listings, and organizational information.
- Assist with proofreading, formatting, and preparing reports, grant applications, and promotional materials.
- Coordinate the distribution of communications to members, volunteers, partners, and stakeholders.
- Help maintain communication templates and organizational documents.
Program and Event Support
- Assist in planning and coordinating workshops, meetings, community events, and educational activities.
- Prepare registration lists, participant materials, and event documentation.
- Support relationships with community partners and volunteers.
- Assist with post-event reporting and documentation.
Organizational Support
- Assist with grant administration, reporting, and document preparation.
- Support research projects, data collection, and program evaluation activities.
- Contribute to the continuous improvement of administrative processes and organizational systems.
- Perform other related duties as assigned.
Qualifications
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills in English; French is an asset.
- Proficiency with Microsoft Office and Google Workspace.
- Experience maintaining websites (e.g., Wix or WordPress) is an asset.
- Ability to manage multiple priorities while maintaining accuracy and attention to detail.

TERMS
- Hours: 28 hours/week (flexible, with some evenings/weekends for events).
- Location: 75% remote with regular in-person meetings in Montreal until office space procured
- Salary: $30/hour.
- Term: Contract ending August 31, 2027, with possibility of renewal depending on funding.
