JOB DESCRIPTION - Administrative Assistant
(Replacing 1-year Maternity Leave)
We are looking for a warm and enthusiastic person, who would support the Association’s Director and staff, by efficiently carrying out administrative tasks of the Centre. The work week is Monday to Friday 10 am to 6 pm. Remuneration will be based on experience, with a base salary of $17.00 per hour. This is a temporary position to replace a maternity leave.
Qualifications of the candidate must include:
- Administrative experience: 2 years (minimum)
- Possess a strong work ethic and professionalism
- Ability to work collaboratively with colleagues as well as independently
- Excellent organizational and time management skills
- Soft skills:
- Setting a welcoming, positive tone in the workplace
- Ability to be discreet in dealing with sensitive information.
- Proficient in the use of Office 365 (Word, PowerPoint, Excel), Zoom, Gmail and G-Suite
- Bilingual (French & English) written and verbally.
Administrative responsibilities include:
Communication & Scheduling
- Liaising with the Director and staff to maintain Centre operations.
- Booking meetings at the discretion of the Director
- Attending minor partner meetings, taking notes, and updating the Director
Correspondence
- Answering phones, managing voicemails, and returning messages in a timely manner.
- Preparing and sending letters and/or emails as required
- Contacting the Association’s media manager with updated content for Facebook, Instagram, Google Profile, and webpages
- Maintaining a calendar of program activities
Filing
- Maintaining digital and paper filing
- Proactively updating the administrative system as needed, to maintain efficiency
Payroll
- On a biweekly basis, organize and send staff hours to the director for payroll processing
Miscellaneous
- Depending upon interest and ability, other tasks can/may be negotiated at the discretion of the Association’s Director
