Position Overview:

The Accounts Receivable Clerk will be responsible for handling financial transactions and maintaining accurate records, ensuring a smooth billing process for our school community.

Key Responsibilities:

Account receivable duties:

  • Process deposits (cheques, PAW, and credit card payments).
  • Provide customer service to parents regarding school fees and payments.
  • Prepare massive invoicing for new school year fees (July)
  • Adjust invoices for new and returning students, including tuition assistance.
  • Review all bursary applications, prepare bursary files
  • Monitor collections
  • Prepare invoicing for extended day
  • Send statements of accounts to families.

Payroll function:

  • Ensure that all employee timesheets are entered properly and ready for processing.
  • Ensure that payroll is completed on time, the payroll production steps are followed, and the payroll binder is kept updated
  • Aid with the preparation of all annual reports re: CARRA pension plan, CNESST, DAS for provincial and federal governments, Professional Development expenditures, religious/secular expense breakdown
  • Provide updated data to insurance companies regarding salary changes, employee changes, coverage changes, and ensure that the payroll deductions reflect the insurance invoices accordingly

GST & QST Remittance:

  • Handle GST & QST claims for Academy and Foundation

Tax Receipts:

  • Preparation work for tax receipts due February 28th

Bank reconciliations:

  • Perform monthly bank reconciliations in Academy and foundation

Miscellaneous

  • Year-end work with auditors
  • Conduct police verifications
  • Order Plaques

Qualifications:

  • High school/ CEGEP diploma or equivalent; relevant accounting or finance education is a plus.
  • Previous experience in accounts receivable or a similar financial role.
  • Strong attention to detail and organizational skills.
  • Proficiency in accounting software and Microsoft Office Suite.
  • Excellent communication skills, both written and verbal in English and French in order to communicate with parent body.
  • Ability to work collaboratively within a team and maintain a positive school environment.
